Description/Job Summary

  • Coordinates the contractual employee contact process by entering contract requests into the PEACE system, distributing the contracts to employees, and returning the contracts to the contract processing office in a timely manner.
  • Obtains authorizing signatures on contractual employee agreements prior to implementation.
  • Reviews budgets to ensure funding availability.
  • Assists with daily budget management of contractual payroll.
  • Provides reports as requested relating to outstanding contracts and contract cut-offs.
  • Is a front line contact for instructors when they have payroll issues.
  • Tracks and monitors contractual timesheets that are submitted to managers for approval.
  • Assists with creating and implementing internal controls to ensure compliance as it relates to contractual pays.
  • Trains Managers and other staff of the WDCE payroll process as appropriate.
  • Enters bi-weekly timesheets into the system to track contractual hours.
  • Informs managers if contractual employees do not have enough hours available on their contract.
  • Communicates with Payroll staff concerning payroll, timesheets and contract issues.
  • Other related duties as assigned.

Required Qualifications

  • High School Diploma/GED
  • Experience in HPLAN PEACE system.
  • At least 2 years experience working in higher education.
  • At least 2 years providing excellent customer services.

Preferred Qualifications

  • Associates Degree in Business or related field
  • At least 5 years providing excellent customer services.
  • At least 5 years experience working in higher education.
