Description/Job Summary

Reporting to the Director of Special Programs, the Office Specialist provides support services for the Office of Special Programs not limited to the Mayor’s Scholars Program, Granville T. Woods Scholars Program, Near-Completers, and supporting grants. Duties include purchasing, records control, greeting visitors, responding to customer inquiries through phone calls and e-mails, data entry, and other administrative activities. The position provides office support such as scheduling appointments, sending correspondence, data compilation, and filing. The Office Specialist is expected to provide exceptional customer service to students, faculty, staff, and guests of Baltimore City Community College

Responsibilities/Duties

  • Performs office duties to support the daily operations
  • Performs a variety of clerical support duties related to assigned activities
  • Ensures quality, accuracy, and completeness of work activities and services
  • Provides quality service, information and assistance to employees, students, and visitors
  • Manages reception area, print/copy/fax stations and conference rooms
  • Manages phone calls and emails to ensure program-related activities are completed
  • Performs a variety of office support duties including typing, faxing, photocopying, filing, and mail management
  • May assist students with registration, as needed
  • Works collaboratively with other departments
  • Performs other related duties as assigned

Required Qualifications

  • Associates degree
  • 2-3 years in customer service or office environment
  • Experience in supporting students from diverse backgrounds
  • Demonstrated ability to communicate with internal and external audiences in a service-oriented environment
  • Strong office skills and ability to prioritize and complete simultaneous tasks 
  • Demonstrated ability to maintain confidentiality and discretion
  • Exemplary communications skills to include interpersonal communication and listening aptitude
  • Working knowledge of Microsoft Office products, including Excel, Outlook, Word, Access, and PowerPoint for reporting and presentation purposes
  • Detail-oriented

Preferred Qualifications

  • Experience working with Banner ERP, Colleague, or similar CRM
  • Bachelor’s degree
  • Able to work evenings or Saturday, if scheduled.
  • Bilingual (English - Spanish) communication skills.
